Count the seats before you read a price
Vets, technicians, the front desk and anyone who needs to look at a record: that is the number every per-seat price gets multiplied by, and it is almost always larger than the number of vets. Put it in the sheet first, because a system that looks cheap per user stops looking cheap once the whole practice is on it.
Get the migration quoted in writing, per system
Ask every vendor on the shortlist what it costs to bring your existing patient and client records across and what comes over: the patients, the clients, the visit history, the stock. A quote that says 'included' without saying what is included is not a quote. This is the single figure that moves the comparison most and it is the one the brochure never carries.
Price the term, not the month
Put the seats, the per-seat price, the migration, the training days and your own day rate into the sheet and read the whole-term figure and the per-vet-per-month figure.
